Welcome to Zoom Rooms! VVC is upgrading classroom technology to support hyflex learning. This web resource is intended to house training materials, basic troubleshooting steps, and how-to's regarding the Zoom Room technology.
Zoom Room technology pairs top of the line audio and video equipment together with the Zoom meeting collaboration technology we've grown accustomed to in a single unified solution. Each of our Zoom Rooms have high-end cameras which can track the speaker, most have in ceiling speakers and microphones to ensure all room participants will have an exceptional audio experience, and the Zoom Rooms are also paired with assistive listening technology, as well as AI transcription and summarization technology.

How To's:
Cameras
- There are Three cameras in the room: Presenter, Audience and Document.
- The room will start with the Presenter camera in Tracking Mode, and the Audience Camera to Preset 1, as Default/Meeting start.
- In order to activate the Document Camera, click "Switch Camera," and select it. You may want to de-select the other cameras as well.
- You can turn the Auto-Tracking feature OFF by selecting "Camera Control," and changing the Presenter Camera's "Mode."
Lectern PC's (In Classrooms)
- The Lectern PC will display on the desk monitor. This PC's output is also mirrored to the Zoom Room system.
- You can share what's on the desk monitor to the Zoom Room and Meeting by clicking the "Share" button and selecting the "Lectern PC."
To Host or Join a Meeting:
1. On the Zoom Room Controller Tablet, select 'New Meeting' (to create a new meeting) or 'Join' (to join an existing meeting).
- If joining an existing meeting, you will need the meeting ID number and passcode to the meeting if one is set.
- You can also retrieve the meeting ID from a Zoom join meeting link
- The meeting code is he number after the /j/ and before the ? on the joining link, so a meeting join link of https://example.zoom.us/j/98874483777?from=addon , the meeting ID is 98874483777.
- If you've created a 'New Meeting', tap 'Invite' on the Zoom Room Controller tablet and enter in an email(s) to send an invite link to.
1. Touch the Zoom Room touchscreen to display the gear icon on the bottom right of the screen.
2. Tap the "Exit" option.
3. Enter the code "269155" if asked to enter a code.
4. The Zoom app will close allowing you to use the computer built into the display.
To Exit a Zoom Room (Dual/Multi-Display Zoom Room):
Exiting the Zoom Room app will allow you to use the NewLine display as a computer. There is a keyboard and mouse in each Zoom Room for this.
1. Press the 'Home' button on the NewLine display.
2. The display will now show an app menu.
3. To re-join the Zoom Room, choose 'Source' and then 'HDMI2'.
To Load the Zoom room App:
1. Tap the 'Zoom Room' app on the bottom taskbar of the display.
To Turn On AI Transcription:
1. Create or enter a Zoom meeting from the Zoom Room Controller tablet.
2. Tap on 'More' (the ellipse).
3. Tap on 'Transcript'.
4. Enable the "Show transcript panel...' option.
To Enable AI Summarization of the Meeting: (This will be emailed automatically to the host of the meeting.)
1. Create or enter a Zoom meeting from the Zoom Room Controller tablet.
2. Tap on 'AI Companion'.
3. Select 'Start Summary'.

Troubleshooting:
The Display is Off (LG TV Displays):
1. On the back of each display is a remote that is located on the right-hand side as you look at the display.
2. Remove the remote from the back of the display.
3. Press the power button on the remote as you point it at the display.
4. The light on the bottom center of the display will flicker/flash. The display is now on.
5. Replace the remote back behind the right-hand side of the display.
The NewLine Display is Off:
1. Locate the bottom control panel on the bottom of the NewLine display.
2. Momentarily press the power button.
The NewLine Display is Not Showing the Zoom Room Screen:
1. Select 'Source'
2. Most Zoom Rooms are set to 'HDMI2' as an input, but cycle through the sources as needed.
